Contract Procedure

Fill out New
Speakers Seeking Representation Form. Once this form is received
by Green Industry Speakers Bureau and you are accepted for
representation, you will be sent a confirmation email along with a
link to the Speaker Contract.

Speaker
Contract: Download the Speaker Contract PDF, print a copy for your records and fax
signed copy to (805)
493-4332. You will be sent a confirmation email once the contract has been
received.

Inclusion
on WebSite:
After we have received your signed contract, your
photo will be listed on the main webpage as a "FEATURED
SPEAKER" for a period of ONE MONTH. You will also be added to
the Speakers Profiles page which will be linked to your own page.
This page will include your photo, bio, description of your
presentation, testimonials and videos which you will provide.

Green
Industry Speakers Bureau receives request from Event Planner: Event
Planner either phones us or fills out the
on-line speakers request form.

Green
Industry Speakers Bureau contacts you:
Once a request is
received, one of our agents will contact you either by phone or
email letting you know the basic details of the event. This includes
date, location and offered fees.

Acceptance
or refusal:
You have first rights of refusal or acceptance of
the request. Green Industry Speakers Bureau only represents
your interests and will negotiate any reasonable disputed points on
your behalf but will not pressure you to accept any offer you do not
wish to agree to. If you refuse the offer, Green Industry
Speakers Bureau will inform the event planner and suggest an
alternative speaker.

Acceptance
of Booking Agreement:
Once we have received confirmation from you, the event planner will be
sent the Booking Agreement *. This
form will include specific details such as the event sponsor, date,
fee, expenses, location and any other relevant information. The
Booking Agreement will then sent to you for your signature. This
will serve as confirmation of your acceptance of all terms and
conditions of the engagement. After the signed Booking Agreement is received by Green Industry Speakers Bureau, we
will send the event planner a copy for their signature.

Pre-Event
Questionnaire: The event
planner with also fill out a pre-event questionnaire which
will include all
the technical and logistical aspects of their event. Your final
itinerary including information regarding hotel arrangements, flights,
schedule of events, information on their organization and any other vital
details. This also includes phone numbers to reach all parties should
the need arise to discuss any last minute issues.

Payment
of Fees:
Unless other arrangements have been made, you will receive
payment of your speaker fees at the close of your presentation.
Additional expenses will be invoiced by our office to the event planner, along will ALL receipts, for payment not to exceed 30 days
from the date the invoice was sent. Payment of additional expenses
will be mailed directly to you from the event planner.

What
if an event planner contacts me directly before they contact you?
This is a NON-exclusive agreement, meaning that you can certainly be
contacted directly, hired to consult and continue working for anyone who
has hired you in the past, provided that the event planner didn't call us
first, or fill out the speaker request form. In any case, it's good
business practice for you to refer event planners to our bureau. Like any
other agent, we only get paid when you are book through us, but you are
under no obligation to do so. The advantage of having representation is
that we handle the details, contracts, contacts, phone calls to event
planners and other matters. There is no cost to you for this service. We
earn a commission from the fees which are paid by the event planner. Back

If I give you a list of events
I wish to speak at, will you also suggest other speakers for that same
event?
No. This is the exception to the non-exclusive clause. Prior to us
being contacted by a meeting planner for an event, if a speaker has a list
events they wish us to contact, only that speaker who gave the lead will
be represented for that event. However, if several speakers suggest the
same event, each will be notified of the others who are also being
submitted. The advantage of being represented by Green Industry Speakers
Bureau is that we do all the leg work for you, including contacting the
meeting planner, sending out the press kit and finalizing the contracts.
It is our goal to secure as many speaking engagements for you that fit
your schedule. Back

What commission percentage do you secure for booking speaker?
There is no cost
to any speaker we represent. We secure a standard
industry commission of a non-refundable 30% deposit of the quoted fee at the time of booking.

After booking a speaking engagement
through you, what if the event planner contacts me directly?
After a event planner
contacts us and agrees to book you for their event, direct discussions
with a event planner should usually only focus on program details, additional
background information on the speaker and any specific event needs of the event planner
and/or speaker. Open and honest communication is very important in
providing a stress-free booking experience. Toward that end, should a event planner
contact you directly, we as that you:
1) Notify us
immediately when they have contact with a event planner and supply specific
details (preferably by email) about what was discussed.
2) Refer the event planner
back to their agent at Green Industry Speakers Bureau for contracting and
booking questions.
3) Never suggest
alternate speakers to the event planner. If you feel you would not be the right
person for the presentation, then let us know if you would like to
recommend a colleague and we will pass the information along to the event planner.

What
services
does Green Industry Speakers Bureau provide during the
booking process?
During the booking process, we will:
1) Generate
contracting for the speaker (including any stipulations / special
arrangements and specific details).
2) Generate
contracting for the event planner (including any stipulations / special
arrangements and specific details).
3) Generate a "Pre-Event
Questionnaire" form detailing all event logistics.
4) Issue invoices for additional expenses to the event planner on behalf of the
speaker. Payment will be made directly to Speaker.
5) Stipulate emphatically
that event planner generates payment to speaker for the event
immediately following speaker's presentation.
7) Follow-up with the event planner
and speaker to assess satisfaction, answer any post presentation

Who
makes travel and other arrangements?
The event planner will make all arrangements for accommodations
which will be detailed in the pre-event questionnaire. In the event that
air travel is required, speaker will make their own reservations and will
be reimbursed by the event planner. Air travel will be at the lowest
possible rate. Back

What
if an event planner cancels or does not pay?
The Booking Agreement

you at a Green Industry Speakers Bureau booked event and is interested in
